Charity Marketing (CM) respects and seeks to preserve the confidentiality of anyone giving us their information via the website. Confidentiality is a matter of consideration and respect.

CM collects and processes your personal data on the basis of different legal grounds, depending on the nature of the data and the type of processing involved. Personal data means any information capable of identifying an individual. It does not include anonymised data.

Most of the personal data stored and processed by CM relies on your consent. Where consent is required, we seek it at the time of provision, and processing will only occur where consent is secured. If consent is not given, we anonymise personal data.

Legitimate Interest
We may process your data where it is necessary for our legitimate interests, such as sending marketing about our services, where we believe you would reasonably expect this. We will only rely on this where a balancing assessment has been completed.

Compliance with Legal Obligation
We may process your data where it is necessary to comply with legal obligations, such as retaining financial records for statutory purposes.


3. Why we collect your sensitive data

To provide a service that meets your needs and ensure continuity, CM may collect sensitive data with your consent. We may also provide anonymised demographic data to funders to help sustain our services.

This may include information you provide via forms or emails. We keep records of our contacts for continuity and support, stored securely for three years after your last contact.

We may also collect anonymised data for monitoring and improving our services. Any statistics shared externally will not include personally identifiable data.

We may monitor phone calls for quality control and training purposes.

3.1 Marketing Communications

You will receive marketing communications from us if you have: (i) Requested information about CM events or services, or purchased from us
(ii) Provided your details and opted in to marketing communications
(iii) Not opted out of receiving marketing

Opting out of marketing will not affect your ability to access our support services.


4. Keeping your information secure

We use a secure, cloud-based system that supports GDPR compliance.

We implement appropriate security measures to prevent your data from being lost, misused, accessed without authorisation, altered or disclosed. Access is limited to those with a legitimate need and all personnel handling your data are bound by confidentiality obligations.

We have processes for managing data breaches and will notify you and relevant authorities where legally required.


5. Data Retention

We retain your data only as long as necessary for the purposes we collected it, including to comply with legal or reporting obligations.

We consider the nature and sensitivity of the data, the risk from unauthorised use or disclosure, the processing purposes, and any legal requirements.

By law, we are required to retain basic customer data for six years for tax purposes.

We store contact records for continuity for up to three years after your last interaction with us.

In some cases, we may anonymise data for research or statistical purposes and retain it indefinitely without further notice.

You will not be charged unless your request is unfounded, repetitive or excessive. In such cases, we may charge a fee or refuse the request.

We may need to confirm your identity before fulfilling your request. We aim to respond within one month, or let you know if it will take longer.
